Imagine you want to display data from your data warehouse in your report. You embed the current numbers inside full sentences:
“This year the Sales Deviation in Germany equals -16,07 % (Source: Sales Report)”
Now imagine you have not one or two, but a hundred of sentences like this in your report, of which everyone draws data from your data source, for example SAP HANA.
Wouldn’t it be easy if you could refresh all these sentences within seconds? Just a click of a button and your report would be up to date. Let me tell you about the solution: Text-items in Office Analytics!
After installing Office Analytics you have access to the open bi features in the OPEN BI ribbon in your Microsoft Word application.
Let’s go ahead and add a new Text-item
Since this is the first visualization we add to this document, we will at first choose the source of the information.
In this case I created a data source called ‘Sales Report’
In the next window you can define the text-item, which is going to be placed inside your Word document. With a click on the question mark next to the format field, you can see which options are available to you.
We also support exceptions in your data. You can set the exception color of the selected cell as foreground or background color of your text-item.
Your data is displayed in the table on the left of the screen. As soon as you selected a cell you will see a preview of the text-item. The green exception color is used as background color for our text-item
Let’s change the format of the text-item to add a little context. The {keyfigure} equals the header of the cell and will be displayed dynamically, as well as the {reportname}. Whenever the data of the selected cell changes, the text-item will be updated.
Now that we added this text-item it is displayed as text in our Word document. As soon as we want to create a new report, for example for the next quarter, all we have to do is press the refresh button and every text-item will display the up to date data.
